About Excel to PDF
Spreadsheets and pages disagree fundamentally: a sheet is an unbounded grid, a PDF page is a fixed rectangle. Every spreadsheet-to-PDF conversion is therefore a decision about what to do with columns that don't fit, and the honest answer is that wide sheets are the hard case. This renders your XLS or XLSX data as a table in a PDF, which works well for reports and data extracts, and less well for sheets built around charts and heavy visual formatting.
When to use Excel to PDF
Sending data that must not be edited
A PDF signals the figures are final, where a spreadsheet invites someone to change a cell and recirculate it.
Attaching a data extract to a report
Getting tabular results into a document format that opens identically everywhere, without Excel installed.
Archiving a snapshot
Freezing a month-end position so the numbers stay as they were, independent of formulas that would recalculate.
Limitations worth knowing
- Cell formatting, colours, conditional formatting and merged cells are not preserved; the output is a clean data table.
- Charts, images and pivot tables are not rendered — only cell values are converted.
- Formulas are converted to their computed values, which is usually what you want but means the logic is gone.
- Very wide sheets are difficult to fit on a page; consider splitting them or converting in landscape.
- Only the data is exported, so print areas and page-break settings from Excel are not honoured.

Frequently asked questions
Will my spreadsheet's formatting be preserved?+
No. The conversion extracts cell values and renders them as a clean table, so colours, fonts, conditional formatting and merged cells don't carry across. If the formatting is the point — a designed invoice or dashboard — export to PDF from Excel itself, which knows about its own layout.
What happens to formulas?+
They're converted to their calculated values, which is normally what you want in a PDF — a static record of the numbers. Be aware the underlying logic isn't preserved, so the PDF can't be audited for how a figure was derived.
My table is cut off at the right edge. What can I do?+
That's the fundamental spreadsheet-to-page mismatch: sheets extend indefinitely, pages don't. Options are splitting wide sheets into several narrower ones, removing columns you don't need in the PDF, or converting in landscape. There's no setting that makes forty columns fit a portrait page legibly.
